SOME THOUGHTS

Do you need an AI agent, an app, an automation or simply a better form?

The clever answer isn’t always the most advanced technology. It’s the simplest thing that can do the job reliably.

You’ve described one irritating job to four people and received four completely different answers.

One wants to build an app. One recommends an AI agent. One suggests another monthly subscription. The fourth says “Zapier” as though that settles everything.

You still don’t know what you need. You only know that copying the same information into three places every Tuesday is making you furious.

Let’s begin there.

You may simply need a better form

A form is enough when the job is collecting clear information in a predictable shape.

Perhaps people keep enquiring without telling you which service they want, their preferred dates or whether they meet a basic requirement. A well-designed form can ask the right questions, reveal different fields based on the answers and send everything to the right place.

No agent required.

The intelligence lives in the questions and the route, not in a model making decisions.

You need an automation when the same steps keep repeating

An automation is useful when one event should reliably trigger another.

Somebody pays, so they receive access. A form is submitted, so a record is created. An appointment is booked, so the correct preparation email is sent. A deadline approaches, so you receive a reminder.

The steps are known. The order is known. There isn’t much interpretation.

This is often the cheapest, safest and least dramatic solution. It’s also the one that can give you an hour back every week.

An agent helps when the work includes searching or sorting

An AI agent becomes useful when the task can’t be reduced to exactly the same steps every time.

It may need to search several sources, compare results, summarise new information or sort items using rules you’ve agreed.

“Every weekday, find newly published funding calls in these six places, remove anything outside Sweden and the EU, and show me the ones that fit a cultural or human-development project” is agent-shaped work.

So is reviewing a transcript, identifying the strongest ideas, checking factual claims and preparing a structured article draft.

The agent still needs boundaries, trusted sources and a clear place to pause for you.

A custom app is for a particular experience

An app makes sense when the way people interact with the system is part of what you’re creating.

Perhaps clients need a private place to see appointments, recordings and next steps. Perhaps a visitor answers questions and receives a genuinely tailored recommendation. Perhaps your method requires rules and an experience that existing platforms can’t provide without becoming awkward.

The app may live inside WordPress or connect closely to it. The important part is that it solves a specific recurring need, not that it gives the proposal a more impressive noun.

Sometimes the answer is a connection

Your booking tool may already do its job. Your email platform may already do its job. The problem may be that you’re carrying information between them.

A small integration can let the tools speak without replacing either one.

This is worth checking before rebuilding anything. Migration is expensive in money, attention and small surprises.

Five useful questions before you pay for a build

Ask:

What exact job will this remove or improve?

How often does that job happen now?

Does the solution need to make a judgment, or only follow rules?

What happens when it’s wrong or the connection fails?

Who owns, maintains and can change it later?

If the answers remain vague, the technology is arriving before the problem is understood.

You don’t need the vocabulary

You don’t have to arrive knowing the difference between an agent, an automation and an integration.

Tell me what keeps happening. Show me the slightly ridiculous series of tabs, emails and notes that currently gets the job done. Tell me what you wish happened instead and what would feel too risky.

The simplest sensible answer may be a form. It may be a connection. It may be an agent or a small custom app.

The point isn’t to buy the future. It’s to stop wasting Tuesday.
